Registration Policy and Procedure

Participants must register to attend a program.

We include registration information in the email invitation, usually in the form of a “Register Here” button. Depending on the program, we gather registrant information via email or via a registration form (e.g., Qualtrics) and create a registration list from the information provided. At a minimum, we collect first name, last name, and email as required fields when participants register.

We retain registration lists for a minimum of five (5) years.

Attendance Policy and Procedure

To qualify for CPE credit, participants must be present, registering their attendance and departure on the sign-in/sign-out sheets at the registration desk.

We use sign-in/sign-out sheets for attendance monitoring. The sheets include sponsor name, event title, location, date, first name, last name, email, organization, signature, time in, time out, and registration desk/room monitor attestation. Participants must complete separate sheets for morning (a.m.) sessions and afternoon (p.m.) sessions to account for extended breaks for lunch, if applicable. The registration desk/room monitor attests that the information is true, accurate, and complete to the best of their knowledge via the signature line at the bottom of the sheets. We then use the sheets to determine CPE credits earned based on the agenda and time in and time out times.

We retain sign-in/sign-out sheets for a minimum of five (5) years.

Record Retention Policy

We retain the following program documentation for a minimum of five (5) years:

  • Invitations and email communications
  • Registration lists
  • Agendas
  • Program booklets
  • Presentations
  • Attendance reports (sign in/sign-out sheets)
  • CPE credit lists
  • Completed evaluation surveys
  • Issued CPE certificates
Refund Policy

No fee is charged for attending our programs.

Program Cancellation Policy

If we need to cancel a program, we will communicate the cancellation to participants as soon as possible via email.

Group Internet Based Administrative Policies

Registration information

Participants must register to attend a program.

We include registration information in the email invitation, usually in the form of a “Register Here” button. We gather registrant information via a registration form (e.g., Teams Webinar, Qualtrics, etc.) that aggregates the information into a registration list. At a minimum, we collect first name, last name, and email as required fields when participants register.

We retain registration lists for a minimum of five (5) years.

Attendance Policy and Procedure

To qualify for CPE, all engagement activities must be completed, and participants must be logged in for the duration of the session.

We use the attendance report from the program platform (e.g., Teams, WebEx, etc.) to track duration, and we use polling questions or emoji reactions as our real-time monitoring mechanism. We include at least four (4) polling questions or emoji reaction opportunities throughout each program at random intervals. The attendance/participation report includes first name, last name, email, time in, time out, the answer to the polling question or emoji reaction, and the time the participation occurred. The report(s) ensure that only attendees who are engaged for the entire duration of the program receive CPE credit for the program.

We retain attendance/participation reports for a minimum of five (5) years.
